Document tracking without a monthly subscription

You can track documents without a subscription by paying per document instead of per seat: you spend a small amount at the moment a document goes live, the link stays alive afterwards, and there is no monthly bill in the months you send nothing. For anyone sending a handful of proposals a month rather than dozens a week, that is both cheaper and less work to manage.

Why this category defaults to monthly seats
Document tracking grew up inside sales teams. A salesperson sends documents every working day, so a seat is always in use and a monthly fee per seat is a reasonable way to price it. Everything about the standard packaging follows from that assumption: per-user pricing, plan tiers, and — the one that stings — visit caps, where a link stops working after N views until you upgrade.
Freelancers and small agencies do not work that way. Sending is bursty: four proposals in a week, then nothing for a month while the work gets done. Under a seat model you pay for the quiet month at exactly the moment you have no income from it, and the temptation is to cancel — which is where the real damage is, because cancelling usually takes your links with it.
The three costs of a subscription nobody quotes you
- The quiet months. A plan you use four times in a quarter still bills three times.
- Link mortality. When you cancel, the links you already sent tend to stop working. A proposal you shared in March becoming a dead URL in June is a bad look you did not choose.
- The cap that fires at the worst time. A visit limit is most likely to be hit on the deal that is going well — the one being passed around a client's office — which is precisely when you do not want the document to close.
What paying per document looks like
The pay-per-use shape is simple enough to describe in a sentence: uploading and previewing a document is free, and you spend a small amount only when you turn it into a live tracked link. At about $0.65 per tracked document, $10 covers roughly fifteen documents, and they do not expire.
That means:
- No plan to cancel, so nothing to remember.
- No bill in a month you do not send anything.
- No seat, so there is nothing to reconcile if you work alone.
- No visit cap, so a document that gets shared around a client keeps working.
The trade-off is honest: if you send documents every single day, a monthly plan will eventually be cheaper per document. The break-even is roughly a dozen-plus documents a month, every month. Below that, per-document wins on both money and mental overhead.
| Per-seat monthly plan | Pay per document | |
|---|---|---|
| Cost in a month you send nothing | Full monthly fee | Nothing |
| Cost of one proposal | The whole month | About $0.65 |
| Links after you stop paying | Usually dead | Still live |
| Visit caps | Common on lower tiers | None |
| Best for | Daily senders, sales teams | Freelancers, small agencies |
What you should not give up to avoid a subscription
Cheap is easy; cheap and useless is easier still. A tracker without a subscription should still do the things that make tracking worth having:
- A real "just opened" alert — and one that means a person. Automated fetches from messaging apps and mail scanners must be filtered out, not counted. A tool that counts them will notify you while you are still writing the message.
- Per-page reading time, not just an open count. "They opened it" is a fact; "they spent four minutes on pricing" is a plan.
- Access controls — a password, an expiry date, a pause switch. See how to send a proposal securely.
- Genuine revocation. If the pages are served from a public file address, pausing the document does not actually close it.
- Links that outlive the transaction. A document you paid for once should not quietly stop working.
How to switch without disrupting anything
- Take the next proposal you were going to attach to an email.
- Upload it and create a tracked link.
- Paste the link into the message you were already writing.
There is no migration, no import, and nothing your client has to learn. If you have a live deal running on an old attachment, send the tracked version as "the latest copy" — a normal, useful thing to do — and you get the signal from that point forward.
Frequently asked questions
Do my links stop working if I stop using the service? No. A document you paid to create stays live until you pause, expire or delete it. That is the point of paying per document rather than per month.
Is there a free tier? Uploading and previewing is free, so you can see exactly what your reader will get before you spend anything. Creating the live tracked link is the paid step.
What if I need to send fifty documents next month? Then you buy more credits that month and nothing else changes. The cost scales with what you send instead of with the calendar.
Can I use it for contracts and decks, not just proposals? Yes — any PDF. The controls that matter for a contract (password, expiry, knowing exactly who opened it) are the same ones described here.
Pay for the documents, not the calendar
If your sending is bursty, the subscription is not buying you capability — it is buying you a billing relationship. Track your next document for about $0.65 and see whether you ever miss the plan.
